Filing the insurance claim for our baby's hospital night. Bills are in three places

Our 6 month old had a high fever a couple of weeks ago and we spent a night at the hospital. She's completely fine now. The insurance through my work needs the claim filed within a set number of days, with original bills, the discharge summary and the prescriptions. The pharmacy bills are in my partner's bag. The discharge summary is in the baby folder at home. The lab reports were only ever sent to my partner's phone. I'm the one filing, and I'm away for client demos half of next week. How do you two keep this stuff so either of you can file a claim without the other one around?

I'm awake on call, so this is very much my area: you want one place that either of you can reach without the other. For us it's one envelope per hospital visit, everything paper goes in it the same day, and a phone photo of each page into a shared folder before the envelope is sealed. The originals are for the claim, the photos are for when one of you is travelling ❤️

Envelope per visit is simple enough that we'll actually do it. Starting with this one tonight.

Check whether the claim can be filed with scans first and originals couriered later. Ours allowed that. Saved us when I was travelling and the papers were at home.
