I have a recurring meeting that overlaps pickup once a week. We can arrange cover, but I keep having to explain the same change in plan to the adults involved. Has anyone found a simple shared way to communicate who is collecting the child without sending a confusing chain of WhatsApp forwards?

A calendar event with the collector's name works for us. We still confirm directly on the day if there is a change.

  A single place for the final decision would help. Our problem is competing messages.

We use a short morning message: day, time, who is picking up. No long chat history required.
