Parent-teacher meetings always land on a release deadline

In my workplace a release window is difficult to move, and a meeting at school sometimes lands in the middle of it. I want to participate without asking for special favours every time. How do you approach scheduling alternatives respectfully?

Send specific questions beforehand so a shorter conversation still has a purpose.

Ask early what formats are available, rather than assuming someone can change the slot.

Preparing questions makes sense even when the original slot works.

Sending questions ahead of a meeting can help when the time is limited. It also keeps the conversation from becoming general small talk.
